The Role

Executive Administrator required for a commercial business based in the thriving jurisdiction of Gibraltar. This key post provides support in the administration of the organisation and reports to the Director on site. It is a challenging role requiring an experienced multi-tasking Executive level Assistant, with strong communication and tech skills.

What You Will Be Doing

  • Coordinate the administrative activities for professional service colleagues.

  • Extensive dealings with senior staff and external stakeholders.

  • Managing sensitive and confidential matters with discretion and diplomacy.

  • Undertake the day-to-day management of the office, eg. enquiries, managing conference calls, ICT troubleshooting, logistics planning and diary management.

  • Attend meetings on numerous internal and external committees, preparation of minutes including tracking action items.

  • Coordinate special projects as assigned.

  • Prepare briefing papers, committee papers, travel itineraries, presentations, and speeches

  • Act as point of contact, developing and maintaining relationships with key internal and external stakeholders to encourage engagement with the organisation

  • Ensure all correspondence from the office is professional.

  • Provide an exceptional level of organisation for a busy, high-profile office.

  • Support other Executive team members as directed.

What You Will Need to Succeed In This Role

  • Undergraduate Degree is ideal but not essential

  • Minimum of 2 years' experience in a high-level administrative support position.

  • Experience in coordinating and implementing projects.

  • Experience of working in an environment with a high degree of customer contact.

  • Experience in officering meetings and minute writing.

  • High-level interpersonal skills.

  • Track record in managing sensitive and confidential matters with discretion and diplomacy.

  • Personal agility and ability to work under pressure.

  • Able to communicate information clearly, articulately, and confidently.

  • Effective IT skills including using Microsoft Office, and digital technologies.

  • Positive, enthusiastic, and customer-friendly approach.

  • Excellent standard of written and spoken English.

  • Respond positively to challenging situations

  • Able to work with minimal supervision, independently or part of a project team.

  • Flexibility in working hours to accommodate peaks in workload
